DUTIES AND RESPONSIBILITIES OF THE PROCTORIAL BOARD
The Proctorial Board is constituted to maintain discipline, ensure adherence to institutional rules, and promote a safe and conducive learning environment at Ambalika Institute of Management & Technology. Its duties and responsibilities are as follows:
- Maintenance of Discipline
- Monitor the general discipline of students within the campus, hostels, and during institute events or activities.
- Prevent and address acts of misconduct, ragging, harassment, or any other behavior detrimental to the institute’s atmosphere.
- Ensure students follow the dress code, ID card policy, and attendance norms.
- Enforcement of Institutional Rules
- Educate students on the institute’s Code of Conduct and disciplinary regulations.
- Ensure uniform enforcement of all disciplinary measures without bias.
- Recommend amendments in disciplinary guidelines when required.
- Student Guidance & Counseling
- Guide students towards ethical conduct, mutual respect, and academic integrity.
- Counsel students found involved in minor misconduct to prevent recurrence.
- Handling Disciplinary Cases
- Receive and examine complaints of student misconduct.
- Conduct impartial inquiries, ensuring fair hearing to all parties.
- Recommend suitable disciplinary actions to the Director/Additional Director.
- Preventive and Awareness Measures
- Organize seminars, workshops, and awareness drives on discipline, anti-ragging laws, and campus safety.
- Coordinate with the Anti-Ragging Committee, Hostel Wardens, and Discipline Committee to prevent violations.
- Coordination & Monitoring
- Liaise with faculty members, class coordinators, and administrative staff for monitoring student behavior.
- Maintain regular communication with parents/guardians in cases of repeated or serious misconduct.
- Record Keeping & Reporting
- Maintain detailed records of all cases handled by the Proctorial Board.
- Submit periodic reports to the Director/Additional Director on disciplinary matters.
- Emergency Response
- Act promptly in urgent situations to prevent escalation of disciplinary issues.
- Ensure safety of students and staff during critical incidents.
